How it works

From a qualifying Shopify order to a virtual rebate card.

Seven connected stages keep the merchant, customer, order, program rule, calculated value and card record aligned.

Staged access

Opening an account does not activate the complete platform. Self-service capabilities are enabled gradually after iComply verification, program approval and applicable provider review.

Complete lifecycle

Seven stages, one order-linked record.

The flow separates onboarding, verification, commercial rules, source events, calculation and card operations so each responsibility stays visible.

  1. 01

    Open the Shopify account

The merchant creates its Rebate Cards account, identifies the operating business and begins Shopify-only onboarding.

  2. 02

    Connect the Shopify store

The merchant authorizes the native connection for the supported store and confirms the storefront, market and commerce context.

  3. 03

    Complete iComply verification

The company and relevant people complete the verification steps required for review. iComply provides the verification workflow and is not the card issuer.

  4. 04

    Define the program rules

After approval, enabled capabilities let the merchant set funding, eligibility, formulas, limits, dates, refund windows and customer-facing terms.

    Synchronize Shopify events

Supported order, customer, fulfillment and refund events provide the facts required to evaluate the effective program rules.

  6. 06

    Calculate the rebate

The system evaluates eligible net activity, applies the applicable fixed, percentage or tiered formula and records the inputs and outcome.

  7. 07

Issue and reconcile the virtual card

Approved value is issued through a provider-supported virtual card while card status, refunds, reversals and adjustments remain tied to the program and order.

Access sequence

Registration begins the process. Approval unlocks the workspace.

The merchant sees capabilities as they become appropriate for the verified business, approved program and participating service providers.

01

Registration

Create the account and begin the native Shopify connection.

02

Verification

Complete iComply checks for the company and relevant people.

03

Program approval

Confirm the commercial model, customer terms, funding, data scope and provider requirements.

04

Gradual enablement

Use only the self-service capabilities that have been activated for the approved account.

Program decisions

Define the rules customers and operators rely on.

These decisions should be documented before a merchant promotes a rebate and should stay available throughout calculation, issuance and support.

01 · FundingWho funds each approved rebate and which budget, currency and cap apply?
02 · EligibilityWhich customers, products, orders, dates, thresholds and exclusions qualify?
03 · FinalityWhich fulfillment milestone and refund window make the order eligible for issuance?
04 · FormulaHow does eligible net order value become a fixed, percentage or tiered rebate?
05 · Card termsWhich issuer, network, program, jurisdiction, balance and card limits govern availability and use?
06 · ReconciliationHow are refunds, reversals, adjustments and issued value matched back to the original order?

Program questions

Before the first order qualifies.

01What can a merchant do immediately after registration?

Registration starts Shopify onboarding. Verification, program review and applicable provider approval occur before the relevant self-service program, calculation and card capabilities are enabled.

02Why is iComply part of the process?

iComply provides the verification workflow used to review the company and relevant people. It does not issue virtual cards and does not define the merchant rebate program.

03When does an order qualify?

Qualification depends on the effective program terms, supported Shopify data and the required order state. Product, customer, value, timing, fulfillment, refund and exclusion rules can all affect the decision.

04Is a rebate or virtual card guaranteed?

No. Eligibility, approved value, issuance and card use depend on the program terms, verified events, available funding, approval, provider support, jurisdiction and applicable card limits.

05How are partial refunds handled?

The program terms determine whether a partial refund changes eligible net value, produces a recalculation or requires another adjustment. The original decision and later movement remain connected.
