Define the objective and eligible audience

Start with one commercial outcome that can be observed in commerce data. Customer acquisition, repeat purchase, a product launch and a VIP tier may all use rebates, but they require different audiences, confirmation points and measures. A precise objective prevents the offer from accumulating rules that do not support the intended result.

Describe the eligible customer in terms the store and customer can understand. Specify whether the program applies to new customers, selected cohorts, business buyers, subscribers or customers of defined stores or brands. Document geographic, age, business-type and program restrictions only when they are supported by the approved operating model.

Confirm data sources and eligibility evidence

For Shopify, map the order, customer, fulfillment and refund information required by each rule. Determine which event creates provisional eligibility and which event confirms it. Every calculation should retain a stable reference to the source order and the version of the rule that produced the result.

Other e-commerce platforms require a separate evaluation before activation. Review API access, webhook coverage, identity handling, order states, refunds, currencies and custom checkout behavior before presenting an integration as available. Do not rely on a manual spreadsheet to conceal a missing event or unclear source of truth.

Model funding, formulas, caps and refunds

Define who funds the rebate and when that funding must be available. Then translate the offer into a formula that can be applied consistently: a fixed value, percentage of an eligible base, threshold or tier. Treat customer rebate value, card-related charges and platform or operating costs as separate components.

Model ordinary and adverse scenarios before launch. Include high participation, high order values, partial refunds, late returns and campaign limits. Customer terms should state how tax, shipping, discounts and returned items affect the calculation, when value becomes final and what can happen if the original purchase later changes.

Prepare verification, card terms and support

The business and relevant people complete verification through iComply as part of program approval. The launch plan should identify who provides required information, who monitors the status and who handles follow-up requests. iComply supplies the verification flow and should not be described as the virtual card issuer.

Review the card terms that customers will receive. Availability, permitted use and transaction behavior depend on the issuer, payment network, provider, jurisdiction, program rules and card limits. Define ownership for account access, card delivery, transaction questions, order eligibility disputes, refunds and escalations before customers enter the program.

Launch with measurement and change control

Before launch, verify the customer journey from qualifying order through rebate calculation, card issuance and a later order change. Operational teams should know which records they can access, which decisions they can make and how unresolved exceptions move to the appropriate owner. Activation should follow the approval state rather than an assumed launch date.

Measure the program against its stated objective and complete economics. Useful measures may include eligible orders, approval and adjustment patterns, funded and issued value, repeat behavior, support demand and total program cost. These measures do not guarantee commercial impact, but they give the merchant evidence for maintaining, changing or closing the program through a controlled decision.
