Connect the Shopify store and establish the program
The process begins when the merchant opens a Shopify account with Rebate Cards and connects the relevant store. That connection provides the commerce data needed to evaluate purchases without asking teams to rebuild the order lifecycle in a separate system. The merchant remains responsible for defining the commercial offer, the customer audience and the source of rebate funding.
The business and relevant people complete verification through iComply before program capabilities are approved. iComply provides the verification flow; it is not the card issuer. Registration and store connection may be available before the complete self-service workspace, card functions or individual program controls are enabled. Access is activated gradually after verification and program review.
- Identify the Shopify store and business operating the offer
- Authorize the data access required for the agreed workflow
- Complete business and relevant-person verification through iComply
- Document who funds, approves and operates the rebate program
- Confirm which capabilities are available at each approval stage
Follow the complete Shopify order lifecycle
Eligibility depends on more than the moment an order is created. The integration can synchronize the order, customer, fulfillment and refund events needed for the approved program. Those events allow the system to distinguish an initial purchase from a completed qualifying purchase and to recognize later changes that affect the amount.
Each program should define its confirmation point. A merchant may wait for payment, fulfillment, a defined refund window or another supported event before treating rebate value as final. Cancellations, partial refunds, returns and duplicate records should follow documented adjustment rules so the program does not issue value based on an order state that no longer qualifies.
- Order identity, line items, totals, currency and relevant discounts
- Customer information needed to apply the approved audience rules
- Payment and fulfillment status used by the program
- Cancellations, returns, partial refunds and full refunds
- Stable references connecting each order event to the rebate ledger
Apply eligibility rules and calculate the rebate
The merchant defines which purchases qualify and how approved value is calculated. Rules can use supported information such as customer segment, product or collection, order value, purchase date, first-order status or net eligible amount. A program may use a fixed amount, a percentage, thresholds or tiers, provided the calculation and exclusions are clear to the customer.
Calculation should occur against the order state specified in the program terms. Taxes, shipping, discounts, refunded items, excluded products and maximum values need explicit treatment. Budget controls and per-customer or per-order caps protect the funded program, while a consistent ledger makes the result explainable to commerce, finance and support teams.
- Define the eligible customer, order, product and time period
- Choose a fixed, percentage-based, threshold or tiered formula
- State how tax, shipping, discounts and refunds affect the base
- Set order, customer, campaign and total funding limits
- Record the rule version used for every calculation
Issue approved value on a virtual card
After the qualifying event is confirmed and the calculated value is approved, the rebate can be issued on a virtual card. The virtual card is the delivery method for earned rebate value, not the source of the rebate economics. The merchant-funded amount, card-related costs and operating costs should remain distinct in the program model.
Virtual card use may be broad, but it is never unlimited. Availability and permitted transactions depend on the payment network, issuer, card provider, program terms, jurisdiction, balance and card controls. Customer communications should explain activation, access, expiration, transaction restrictions and support paths that apply to the approved card program.
- Confirm the rebate amount and recipient before issuance
- Keep the virtual card tied to the approved program and source order
- Present applicable card terms before the customer uses the value
- Explain balance, expiration and transaction limits where applicable
- Provide a clear support path for access and transaction questions
Reconcile rebates when commerce activity changes
A sound Shopify rebate program continues after issuance. The ledger should connect the source order, calculation, approved amount, virtual card and later adjustments. This gives the merchant a consistent view of funded value, issued value, outstanding balances and changes caused by returns or corrected commerce records.
The merchant should publish what happens when a customer returns an item after value has been approved or issued. Depending on the program and provider terms, the response may involve a pending period, reduction, reversal, recovery process or another documented treatment. Rebate Cards supports the operating workflow, while the merchant remains responsible for accurate program terms, sufficient funding and customer communication.
- Reconcile qualifying orders with approved and issued rebate value
- Track refund-window status before and after card issuance
- Record adjustments and reversals against the original calculation
- Separate customer value from card and program operating costs
- Review exceptions using the same rules communicated to customers
